This Privacy Policy describes how Intek Ghana handles personal information in connection with Intek Invoice. It applies to account holders, authorised staff, storefront visitors, customers whose details are entered by a User, and people who contact our support channels.
1. Information we may process
Account and business information
This may include your name, email address, phone number, password hash, business name, business contact information, logo, plan, subscription status, and account preferences.
Customer and transaction records
Users may enter customer names, phone numbers, email addresses, addresses, invoice details, receipt details, payment references, order requests, product or service information, notes, and related business records.
Storefront and order information
When a person uses a public storefront, we may process information submitted with an order request, such as name, phone number, selected items, quantity, delivery or collection preference, address, and notes.
Usage, device, and security information
We may record login activity, IP address, browser or device information, page activity, security events, failed login attempts, support access, system logs, and information needed to operate the PWA and protect accounts.
Support and communications
We may process support tickets, replies, internal support metadata, email delivery records, announcement records, and Intek SMS delivery status associated with Platform use.
2. How we use information
- To create and operate accounts and business workspaces.
- To generate invoices, receipts, statements, reports, storefronts, and order requests.
- To send or facilitate email, WhatsApp-link, and Intek SMS communications requested by Users.
- To provide customer support and authorised read-only support access.
- To administer subscriptions, trials, upgrades, limits, and account status.
- To secure the Platform, prevent abuse, investigate incidents, and maintain audit logs.
- To maintain backups, diagnose technical problems, and improve performance and usability.
- To comply with lawful requests and applicable legal obligations.
3. Business Users and their customers
When a business User enters information about its own customers, the business remains responsible for deciding why it collects and uses that information and for communicating with those customers lawfully. Intek Ghana processes that information to provide the Platform and related support functions.
Users should only upload customer information they are entitled to use and should not use Intek Invoice or Intek SMS to send unlawful or unsolicited communications.
4. Sharing of information
We do not sell personal information to advertisers. We may disclose or make information available to service providers that help us operate the Platform, such as hosting, infrastructure, email, security, backup, or communications providers, only to the extent needed for those services.
Information may also be disclosed where required by law, to protect the rights or security of Users or the Platform, in connection with a legitimate business transfer, or where you direct us to share information through a Platform feature.
5. Intek SMS and connected services
If a business connects its Intek SMS account, Intek Invoice may store the configuration required to make authorised API requests on that business’s behalf. Users should keep API keys private and remove or rotate them if they believe they have been exposed.
6. Retention
We retain account and business records for as long as reasonably necessary to provide the service, maintain security and audit history, resolve disputes, comply with legal or accounting obligations, and support legitimate business continuity. Different records may have different retention periods.
Account closure does not necessarily cause immediate deletion of backups, audit records, financial document history, or records that must be retained for legal, security, or dispute-resolution purposes.
7. Security
We use administrative and technical measures intended to protect the Platform, including access controls, password hashing, tenant separation, security logging, protected backups, CSRF controls, private tokens for shared documents, and other safeguards appropriate to the service. No internet service can guarantee absolute security.
8. International processing
Some infrastructure or service providers may process information outside Ghana. Where this occurs, we aim to use providers and safeguards appropriate to the nature of the information and applicable requirements.
9. Your choices and rights
Depending on the information and applicable law, you may be able to request access, correction, restriction, deletion, or other action relating to your personal information. Business Users can update much of their account and business information directly in the Platform.
Where information was supplied to Intek Invoice by a business about its own customer, the customer may first need to contact that business because the business controls the commercial relationship and the purpose for which the information was collected.
10. Cookies, sessions, and local device storage
Intek Invoice uses session cookies and browser storage that are necessary for sign-in, security, PWA behaviour, preferences, and reliable operation. We may also use limited analytics or operational records to understand Platform performance and prevent abuse.
11. Children
Intek Invoice is designed for business use and is not intended for children to create independent business accounts. Users are responsible for ensuring that any personal information they enter about minors is handled lawfully and appropriately.
12. Changes to this policy
We may update this Privacy Policy when the Platform, our practices, or applicable requirements change. The latest version will be published here with its effective date.
